The Purchasing Officer is responsible for sourcing and procuring high-quality goods and services required for the hotel’s daily operations, including food and beverages, housekeeping supplies, furniture, and equipment. The role ensures cost-effective purchasing while maintaining quality standards and supplier relationships.
Key Responsibilities:1. Procurement & Supplier Management
Source and negotiate with suppliers for food, beverages, linens, cleaning supplies, and other hotel essentials.
Maintain strong relationships with vendors to ensure timely and reliable delivery.
Evaluate supplier performance based on pricing, quality, and service.
Obtain competitive quotes and ensure the best pricing without compromising quality.
2. Inventory & Stock Control
Coordinate with the kitchen, housekeeping, and other departments to assess stock requirements.
Monitor stock levels and place orders to prevent shortages or overstocking.
Ensure all purchased goods meet hotel standards and specifications.
3. Cost & Budget Management
Work within the hotel's budget while ensuring procurement efficiency.
Implement cost-saving measures without affecting service quality.
Analyze market trends and adjust purchasing strategies accordingly.
4. Compliance & Documentation
Ensure all purchases comply with the hotel's procurement policies and industry regulations.
Maintain accurate records of purchase orders, contracts, and invoices.
Conduct supplier audits to verify compliance with health and safety regulations.
5. Coordination with Internal Departments
Collaborate with the executive chef, housekeeping manager, and other department heads to understand procurement needs.
Resolve supply issues and handle urgent procurement requests efficiently.
