We are seeking an Executive Assistant to Project Manager & Document Controller
We are looking for a highly organized and proactive professional with experience managing local and China-based suppliers, procurement, and shipments. The ideal candidate is detail-oriented, able to work under pressure, and skilled in Microsoft tools and ERP systems.
Responsibilities:
Provide comprehensive administrative and operational support to the Project Manager.
Maintain flexible working hours as required by the PM.
Coordinate and communicate with local and China-based suppliers.
Monitor and respond to emails and supplier correspondence.
Prepare presentations, reports, and spreadsheets.
Handle and follow up on quotations, invoices, production status, and shipments.
Track project progress and maintain organized project documentation.
Assist with procurement, logistics, and other duties as assigned by the Project Manager.
Requirements:
Strong written and verbal English communication skills (Mandarin is an advantage).
Proven experience with local and China-based suppliers, and managing local and international procurement and shipments.
Ability to work under pressure and manage multiple priorities with patience and professionalism.
High level of organization, attention to detail, and follow-through.
Proficient in email management, Microsoft tools, and reporting tools.
Familiarity with ERP systems and basic finance or accounting processes is preferred.
