Job Summary
The Project Coordinator & Document Controller is responsible for supporting project execution by coordinating activities, maintaining project documentation, and ensuring proper document control in line with company and project requirements. The role ensures smooth communication between teams and accurate record-keeping throughout the project life cycle.
Key Responsibilities
Project Coordination
Assist Project Manager in planning, scheduling, and tracking project activities
Coordinate between internal departments, clients, consultants, and subcontractors
Monitor project progress and prepare regular status reports
Follow up on pending tasks, approvals, and deliverables
Organize meetings, prepare agendas, and record minutes of meetings (MOM)
Ensure deadlines are met and escalate delays when required
Document Control
Maintain and manage all project documents (drawings, reports, contracts, etc.)
Ensure proper document numbering, filing, and version control
Handle document submission, tracking, and distribution to relevant parties
Maintain document logs (incoming/outgoing correspondence, submittals, RFIs, etc.)
Ensure all documents are easily accessible and stored securely
Archive project documents upon completion
Administrative Support
Prepare letters, reports, and other project-related documentation
Maintain project records, databases, and filing systems
Assist in procurement documentation and coordination if required
Support compliance with company procedures and project standards
