JOP PURPOSE: To act as the central coordination role between warehouse inventory control and customer operations, ensuring accurate system records, smooth inbound/outbound processing, and professional customer communication while maintaining food safety, FIFO/FEFO, and service level compliance.
Key Responsibilities Core Responsibilities A. Inventory & System Operations (Internal)
Create and process Goods Receipt Notes (GRN) in Odoo for all inbound stock
Prepare and confirm Delivery Notes (DN) for outbound orders
Always ensure system stock matches’ physical stock
Monitor and enforce FIFO / FEFO compliance
Handle stock adjustments, scrap, and quarantine transactions (as per approval matrix)
Coordinate with QC to block / release stock in the system
Support cycle counts and full physical inventories
Maintain accurate batch, expiry, and location data
B. Customer Operations (External)
Receive and manage customer inbound & outbound requests
Coordinate delivery and collection schedules with transport team
Share GRN, DN, stock reports, and delivery confirmations with customers
Act as first point of contact for customer inquiries and operational issues
Handling customer complaints and NCR initiation
Arrange customer inspections and warehouse visits
Monitor SLA, turnaround times, and service performance
C. Documentation & Compliance
Maintain organized records for municipality, HACCP, and audit requirements
Ensure all documents are properly filed (digital & hard copy)
Support internal and external audits and inspections
Follow and enforce warehouse SOPs and food safety procedures
D. Reporting
Prepare daily inbound/outbound summaries
Issue weekly and monthly stock reports to customers and management
Report on stock discrepancies, delays, or risks immediately to Warehouse Manager
Qualifications & Skills
Diploma or bachelor’s degree
3–5 years warehouse administration or inventory experience
Strong ERP skills (Odoo preferred)
Customer communication skills
