The Document Controller is responsible for managing, organizing, and maintaining company documents and records to ensure accuracy, security, and compliance with organizational and regulatory requirements. The role supports efficient document control processes by handling document creation, distribution, revision, retrieval, and archiving.
Key Responsibilities
Manage the receipt, registration, distribution, tracking, and filing of project and company documents.
Maintain document control systems and ensure all documents are accurately recorded and easily retrievable.
Review documents for completeness, formatting, and compliance with company standards before distribution.
Control document revisions and ensure only the latest approved versions are in circulation.
Archive obsolete documents in accordance with document retention policies.
Coordinate with project teams, clients, consultants, and contractors regarding document submissions and approvals.
Prepare and maintain document registers, transmittals, and tracking logs.
Ensure confidentiality and security of sensitive documents and information.
Monitor document submission deadlines and follow up on pending approvals.
Support audits by providing accurate and complete documentation when required.
Maintain both electronic and hard-copy filing systems.
Assist in developing and improving document control procedures and workflows.
