The Administrative Assistant provides comprehensive administrative support to ensure smooth operations within the real estate company. This role involves managing documentation, assisting with contracts and applications, monitoring renewals, and supporting both the management team and the PRO. The ideal candidate is organized, detail-oriented, and capable of handling multiple tasks efficiently in a fast-paced real estate environment.
Job Responsiblities:
1. Update and maintain renewal list on a monthly, quarterly, and annual basis.
2. Prepare and issue notices of renewal every 7 months for our tenants.
3. Assist with Kahramaa applications for utilities, including submission and coordination.
4. Update and track the status of Kahramaa applications and related records.
5. Monitor JEstate document renewals and ensure timely banner renewals.
6. Support the PRO in contract attestation processes, including preparation and submission.
7. Update, organize, and file tenant documents systematically for easy retrieval.
8. Prepare contracts ensuring all documentation is complete and accurate.
9. Respond to tenant emails and concerns in accordance with management guidelines
10. Answer phone calls and handle tenant inquiries professionally and promptly.
11. Order, track, and monitor office supplies to ensure smooth office operations.
12. Handle receipt rental payment & bank deposit in absence of the Accountant as required.
Desired Skills & Experience
· Minimum of 1-2 years of administrative experience, preferably in real estate or property management.
· Strong organizational skills and attention to detail.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook).
· Good communication and interpersonal skills.
· Arabic & English speaking
· With basic knowledge in AI
· Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
· Familiarity with Kahramaa and other utility application processes is an advantage.
