The Administrative Secretary will provide comprehensive administrative and personal support to the General Manager (GM). This role requires a high level of professionalism, discretion, and organizational skill to ensure that all business and personal affairs of the GM are handled efficiently and confidentially.
Key Responsibilities:
Administrative Support:
• Manage the GM’s calendar, appointments, and daily schedule.
• Organize and coordinate meetings, prepare agendas, take minutes, and follow up on action items.
• Handle all correspondence, emails, and phone calls on behalf of the GM.
• Prepare reports, memos, and presentations as required.
• Maintain and organize files, records, and confidential documents.
• Liaise with internal departments, clients, and external partners professionally.
Personal Assistance:
• Assist the GM with personal tasks, travel arrangements, reservations, and family-related matters when required.
• Handle confidential and sensitive information with the highest level of discretion.
• Coordinate logistics for personal and professional events or trips.
Operational Support:
• Support in organizing company functions, meetings, and events.
• Monitor office supplies and coordinate administrative needs for the GM’s office.
• Perform other tasks as assigned to ensure smooth daily operations.
Desired Skills & Experience
• Bachelor’s degree in Business Administration or related field preferred.
• Minimum 3–5 years of experience as an Executive or Administrative Secretary, preferably supporting senior management.
• Excellent written and verbal communication skills in English (Arabic is an advantage).
• Strong organizational, time management, and multitasking abilities.
• High level of professionalism, confidentiality, and discretion.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Flexible, reliable, and able to adapt to changing priorities.
