Job Summary
Bin Al Sheikh Real Estate is looking for a highly organized and detail-oriented CRM & Admin Executive to support daily real estate operations. The ideal candidate will manage CRM systems, handle leads efficiently, and ensure smooth administrative coordination while supporting high-end client interactions.
CRM & Lead Management
- System Ownership: Manage and maintain the CRM database, ensuring 100% data accuracy.
- Inventory Control: Update property listings, upload high-quality media, and ensure all units are correctly marked as "Available," "Booked," or "Sold."
- Lead Distribution: Monitor incoming inquiries from all portals and social media; distribute them instantly to the sales and leasing teams based on company rotation rules.
- Performance Tracking: Prepare detailed analytics on lead sources, agent response times, and conversion rates for the management team.
Real Estate Administration & Compliance
- Contract Management: Draft and review Unified collaboration Contracts and any related admin work requested.
- Document Archiving: Maintain a digital and physical filing system for all related documents.
Operational & Executive Support
- Client Relations: Serve as the first step contact person with high-net-worth clients.
- Meeting Coordination: Organize internal briefings and external arrangements; prepare necessary collateral or "mood boards" for project presentations.+
Required Qualifications & Skills
- Experience: Minimum of 2–3 years of administrative or CRM experience specifically within the Qatar Real Estate market.
- Languages: Native or professional fluency in Arabic and English (both written and spoken) is essential.
- Technical Proficiency:
- Expertise in Microsoft Office (Excel, Word, PowerPoint).
- Hands-on experience with real estate portals and CRM software.
- Attributes:
- Exceptional attention to detail and a commitment to "zero-error" documentation.
- A proactive, "problem-solver" mindset with the ability to work independently.
- Strong professional etiquette suitable for a high-end corporate environment.
Key Performance Indicators (KPIs)
- Listing Quality: 100% accuracy of details and documentation across all portals.
- Lead Management: Response and distribution of new leads within 10–15 minutes of arrival.
- Reporting: Delivery of comprehensive weekly activity and inventory reports.
- Administrative Accuracy: Zero errors reported and information submitted.
