Job Summary:
We are seeking a knowledgeable Facility Management Coordinator to ensure an optimal working environment at our properties. In this role, you will be responsible of the operation including all facilities, involved in rent and leasing properties, looking after the satisfaction of our tenants, performing regular safety and security inspections, maintaining compound equipment’s, and supervising cleaning crews. The ideal candidate will have extensive experience in facility management and or hospitality, must have the ability to liaise effectively with third parties, ensuring an efficient and safe environment.
Key Responsibilities:
o Prepare and Review Lease Documents: Ensure lease agreements are accurately prepared, including terms, conditions, and rent schedules, and ensure all documents comply with applicable laws and regulations.
o Lease Renewals: Track lease expiration dates and initiate lease renewal processes with tenants, ensuring smooth transitions.
o Lease Documentation Management: Organize and maintain records of leases, amendments, and correspondence for easy access and compliance
- Leasing & Showing Properties
o Manage buildings, villas, and equipment maintenance schedules.
o Respond to urgent maintenance calls promptly.
o Prepare for emergencies by creating building evacuation and other action plans.
- Equipment and Supplies Management:
o Manage equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment, and climate control.
- Vendor and Supplier Liaison:
o Liaise with vendors and suppliers on behalf of senior managers.
- Reporting and Supervision:
o Report regularly to the Property Manager.
o Supervise cleaning crews and maintenance workers.
- Documentation and Budgeting:
o Document processes and maintain accurate maintenance records.
o Monitor maintenance budget spending and maintain accurate records of facility operations, maintenance schedules, and compliance documentation.
o Prepare reports and presentations on facility management activities for senior management.
Qualifications:
- Bachelor’s degree in hospitality, Business Administration, or a related field preferred.
- 2-4 years of experience in facility management or a related role, preferably in a residential compound or similar setting.
- Strong understanding of building maintenance systems and procedures.
- Proficiency in facility management software.
- Excellent organizational and project management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Knowledge of safety regulations and compliance requirements.
- Budget management experience is a plus.
Working Conditions:
- Operation, with frequent visits to various locations within the compound.
- Occasional after-hours work may be required for emergencies, project deadlines.
