Admin Assistant Wanted


Job Description

BTHS ADMIN ASSISTANT (Female) Management Representative and Lead Auditor for IMS, ISO 9001:2015 ISO 14001:2015 and ISO 45001:2018.

Monitoring all controlled documents procedures, forms, work instructions, process flow diagram.

Executing Internal and External Audit and Management Review Meeting.

Greet and receive visitors.

Maintain agenda and plan appointments, and all engagements for the assigned area of responsibility.

Partake and support in the planning and facilitation of board meetings.

Schedule meetings and arrange conference rooms and accurately recording minutes from meetings.

Maintain the physical and electronic archives and filing system

for the assigned area of responsibility including confidential records.

Prepare and compile confidential documents & briefs the

General Manager regarding its content.

Communicate and coordinate with relevant internal and external entities as required.

Making travel arrangements for executives.

Assist in the preparation of timely and accurate reports and presentations within the assigned area of responsibility.

Receive and screen communications to the Office of the General Manager including telephone calls and e-mail.

Researching and conducting data for review and presentation by boards of directors, committees, and executives.

Handling Petty Cash and maintain an adequate inventory of office supplies and operate standard office equipment.

Put in order the Technical Documents for Tender Submission.

Coordinate with the Accounts Department for any tender

bond requirements for the tender and or any extension of time for the tender bond requested by the clients.

Follow up via calls and email all the working order that is not issued yet to our company, but works has already been done for the purpose of invoicing.

Ensure to update the List of Awarded Projects, Ongoing and Completed Projects.

Requirements and skills

· Proven experience in Landscape industry must

· Knowledge of office management systems and procedures

· Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

· Excellent time management skills and the ability to prioritize work

· Attention to detail and problem solving skills

· Excellent written and verbal communication skills

· Strong organizational skills with the ability to multi-task

· High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
