We are looking for a highly organized and proactive Executive Assistant to support the Project Manager and handle document control duties. The ideal candidate will assist with daily administrative tasks, manage project documentation, coordinate with internal and external teams, and ensure smooth workflow across multiple departments.
Key Responsibilities:
- Manage calendars, meetings, and document filing systems (digital/physical).
- Draft, edit, and format reports, presentations, and spreadsheets.
- Prepare and issue quotations and invoices; coordinate with sales team and China suppliers.
- Handle local/international shipments, documentation, and customs coordination.
- Respond to customer inquiries, track orders, and maintain client satisfaction.
- Use ERP systems for inventory and sales tracking.
- Generate reports on sales, shipments, and supplier performance.
- Support tender submissions, contract reviews, and vendor registration.
- Provide basic troubleshooting support for machines and coordinate with technicians.
- Liaise with event organizers and ensure company registration for local events.
Requirements:
- Minimum 3 years of experience in administrative, sales coordination, or similar roles.
- Professional-level proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, etc.).
- Strong communication and coordination skills.
- Experience working with suppliers and clients, especially in China, is a plus.
- Knowledge of ERP systems and basic finance/accounting processes is preferred.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Flexible and adaptable to shifting priorities and dynamic work environments.
- Valid Qatar driving license is a plus.
