The Executive Secretary provides high-level administrative support to executives by preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The role requires a high degree of professionalism, confidentiality, and organizational skills.
Key Responsibilities:
Manage and maintain executives' schedules, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
File and retrieve corporate documents, records, and reports.
Handle confidential documents ensuring they remain secure.
Monitor, screen, respond to and distribute incoming communications.
Answer and manage incoming calls and correspondence.
Arrange and coordinate meetings and events.
Record, transcribe and distribute minutes of meetings.
Liaise with internal staff at all levels and interact with external clients and partners.
Conduct research, collect and analyze data to prepare reports and documents.
Maintain office supplies inventory and place orders as necessary.
